School Office and Finance Administrator

School Office and Finance Administrator - 37 hours per week working term time - 39 weeks per year inc. inset days

The Heights Blackburn would like to recruit an experienced office and finance administrator to join their busy administration team.  Reporting to the School Business Manager, you will be providing a full office and finance administrative support to the school.  

About The Role

  • Maintain employee personal files in an orderly, secure and confidential manner, ensuring files are kept up to date and in line with data protection and Ofsted requirements.
  • Undertake regular audits and maintenance of personnel files as required in order to meet legal compliance.
  • To be responsible for administration of pupil admissions.
  • Responsible for school events including sourcing and liaising with venues, pricing, bookings, collating school requirements and payment of subsequent invoicing.
  • Responsible for the accuracy and information published on the school website pages, acting as first point of contact with the IT support desk to resolve issues as and when they arise.
  • Apply for references and make follow-up calls to referees as directed by the School Business Manager.
  • Produce and issue interview programmes, as directed by the School Business Manager, and individual interview timetables for all staff involved in the process.
  • Assist with other HR and associated projects where required including the administration of absence requests, annual & special leave in line with school policy and holding return to work meetings.
  • Ensure purchase invoices are processed in a timely manner and are matched correctly to purchase orders and delivery notes through a three-way-match
  • Deal with supplier queries in a professional and timely manner
  • Process staff expenses through purchase ledger ensuring the expenses policy is adhered to
  • Process credit card expenses through purchase ledger
  • Perform supplier statement reconciliations in preparation for supplier payments
  • Input purchase orders onto the finance system and place orders to suppliers.
  • Invoice customers as and when required.
  • To process invoices in line with the Trust procedures to ensure the school budget is accurate.
  • Supporting with finance related administration including invoices, supplier setup and payment and payroll administration
  • To support with monthly reconciliations.
  • Clerking Local Governing Body meetings where required producing accurate and concise minutes.
  • Ensuring data is entered onto the school SIMS and other systems to comply with DfE requirements
  • Timely management of the school census, reviewing pupil numbers and liaison with the HT (or designate) and feeder schools for pupil numbers.

The Ideal Applicant

  • Will have financial administration experience 
  • Will have experience providing administrative support at a high level including finance administration
  • Will be able to work using own initiative 
  • Will be accurate and have good attention to detail
  • Will have experience of working with SIMS 
  • Will be able to juggle and prioritise workload 
  • Will be experienced with MS packages including Excel and may have experience using SAGE
